Cancellation and Illness Policy

At Voice and Wellness Speech Pathology, we respect the commitment you make to your therapy, and we ask the same in return. These guidelines help us manage appointments fairly and ensure consistent care for all clients.

Notice Period

Cancellations or rescheduling requests must be made at least 48 hours (2 business days) before your scheduled session.

Late Cancellations and Non-Attendance

If less than 48 hours’ notice is provided, or if a session is missed without notice, the full session fee will apply. If the clinician has already travelled to your location, associated travel costs will also be charged.

Late Arrivals

If you arrive late, the session will finish at the scheduled time, and the full fee will still apply.

Rescheduling Options

Where possible, we will offer an alternative appointment within the same week. If in-person attendance is not possible, you may be able to switch to a telehealth session instead.

Attendance Expectations

To support meaningful progress, we encourage clients to maintain at least an 80% attendance rate. Consistent attendance helps ensure the best outcomes from therapy.

Ceasing Therapy

If you wish to finish therapy, we kindly ask for 2 weeks’ notice. This allows time to close your file appropriately and, if needed, support a smooth transition.

Communication

Clients must communicate directly with their clinician via phone, text, or email regarding appointments, including cancellations. Notifications via social media platforms such as Instagram, LinkedIn, or similar apps cannot be accepted.

Exceptional and Compassionate Circumstances

We understand that life can be unpredictable, and emergencies or unforeseen events may arise. In such circumstances, cancellation fees may be waived at the discretion of the clinician.

NDIS and Funded Clients

For clients accessing services through the NDIS, cancellation charges will follow the relevant funding body’s guidelines.
